PRIVACY NOTICE
Purpose of the Privacy Notice
BAT entities and their subsidiaries in Vietnam (collectively “BAT Vietnam” or “We”) are proud members of British American Tobacco Group. Under its compliance procedures, we require certain information to conduct a compliance assessment and due diligence checks.
This Privacy Notice explains: (i) What information we collect from you; (ii) Why we are asking for this Information; (iii) What we will do with this Information; (iv) Who we will share your information with; (v) How long do we keep your personal data for; (vi) Where we transfer your information to; (vii) How we keep your personal information secure; and (viii) Your rights.
For purpose of this Privacy Notice, BAT Vietnam means each and any of the following entities:
(i) East Asia Area Services Company Limited;
(ii) British American Tobacco – Vinataba (JV);
(iii) VINA-BAT Joint Venture Company Limited;
(iv) Branch of VINA-BAT Joint Venture Company Limited at Ho Chi Minh City; and
(v) Representative Office British-American Tobacco Marketing (Singapore) Private Limited at Ho Chi Minh City.

What information we collect from you
BAT Vietnam requires the information set out in the questionnaire which can be accessed via the link that you received from BAT. The types of information we may collect from you as the person completing the questionnaire includes:
(i) full name;
(ii) date of birth;
(iii) phone number;
(iv) email address;
(v) functions in the corporate that you have interest in;
(vi) application profile (if any).
(collectively the “Information”).
We may collect Information in a number of ways including directly from you through the link. However, we may also collect data from you if you contact us proactively, usually by phone, email or social media or if we contact you and ask you to provide us with certain information.

Why we are asking for this Information
We collect, use and disclose your personal data for the following reasons:
- as part of our internal workforce planning;
- to ensure that we can respond to any queries and contact you if you request us to do so.
For other reasons, you will be duly advised so that your consent can be informed and freely given according to each particular situation.

What we will do with this Information
Your Information will be processed in a manner appropriate to the purposes set out in this Privacy Notice through the use of adequate technical and organizational measures and in accordance with the applicable Vietnamese law.

How long we will keep your personal data for
We will not keep your personal data for any longer than is necessary for the purposes for which we collect it and no later than 2 (two) years from the end of the event held by BAT Vietnam. Where we are subject to a regulatory or other legal obligation in a specific jurisdiction which requires us to keep data for a specified period of time, we will comply with those legal/regulatory requirements with respect to the retention of such data.   

Who we will share your information with
We may disclose your Information on a confidential basis to:
Any of our BAT entities: The Information may be shared with the relevant member of the BAT group within and outside Vietnam in case your profile may potentially fit to career opportunity in BAT group.
Tax, audit, or other authorities. We may share your Information with tax, audit or other authorities when we believe that the law or other regulation requires us to do so
Third party service providers. We may share your information with third party service providers who perform functions on our behalf. We will only share information with such service providers where we have an appropriate data processing agreement (or similar protections) in place.
We do not share, rent or trade your information with third parties for marketing or promotional purposes.

Where we transfer your information to
BAT Vietnam is part of the British American Tobacco Group, which is a global organisation. For the purposes explained in this Privacy Notice, the Information may be disclosed to our related entities (including service providers operating on their behalf) and/or other third parties in countries other than Vietnam and those which do not have the same level of privacy laws as Vietnam.

How we keep your personal information secure
We take reasonable steps to protect the Information from misuse, loss, unauthorised access, modification or disclosure. The Information is stored securely whether in an electronic or physical form. For example, only our staff who need access to such information are permitted access to it. The Information is stored in secured premises or in electronic databases requiring logins and passwords.

Your rights
You can request access at any time to the Information that we hold about you. We will process your request within a reasonable time. There is no fee for an individual requesting access to your Information.
We try to ensure that all Information we hold about an individual, which we collect, use or disclose is accurate, complete, up to date and relevant. You may ask us at any time to correct the Information held by us about you, which you believe is incorrect or out of date.
